Monitoring Incoming Client Requests & Proactive Renewals
From your homepage in vRxPro, you can see how many pending items you have waiting to be reviewed.
When you have either a Client Request or a Proactive Renewal needing your attention, a red circle icon will appear on the top right corner of the tile.
Pro-tip: have at least one designated team member log-in to vRxPro a few times throughout the day to stay on top of your notifications.
If your team members are not set up as delegates, they can still assist with Client Requests and Proactive Renewals by making an necessary updates to the prescription and saving a draft for the veterinarian or a delegate to approve.

Utilizing Workflow Status & Internal Notes
When managing pending Client Requests or Renewals, be sure to update the Workflow Status to keep other team members up to date on the status of the prescription. You can also add an internal note to provide additional context.
Some examples of internal notes:
- "Annual exam scheduled 11/1, can be approved then"
- "LM w/ client 10/31 to schedule bloodwork"
- "Tech reviewed 10/20, pending vet auth"
- "Need to confirm weight before approving"
- "Spoke with client, waiting on scheduled exam"
Workflow statuses:
- Action Needed (this is the default status)
- Exam Needed
- Under Review
- Client Contacted
- Exam Scheduled
- Final Approval
When to Decline or Remove a Client Request or Proactive Renewal
Declining a prescription should be reserved for scenarios where you do not want the patient to receive that product.
**Remember, if a client used a time-sensitive coupon code on the order, declining that order may remove their ability to take advantage of the discount.
If you cannot authorize due to necessary services or timing, utilize the Workflow Status and contact the client to schedule the required services or discuss the request. For more information on managing requests requiring pending appointments, click here.
Note: any unapproved Client Requests will automatically be cancelled after 45 days.
If the client selected an incorrect strength or quantity, utilize the Approve with Changes workflow and change the prescription to the correct strength or quantity.
Proactive Renewals follow the same procedure, if you cannot authorize right now, utilize the Workflow Status and/or contact the client. You can also utilize the Remind Me Later button to snooze the renewal until it is appropriate to authorize. Only remove the renewal if you no longer want the patient to receive that product.
Using Notes to Pharmacy
When creating or approving a prescription, vRxPro offers the opportunity to add a note to the pharmacist.
There are several reasons to provide a note to the pharmacist. Common examples include:
- Essential Copy Reason for prescribing commercially available compounded medications
- Details for why you are prescribing off label
Periodically Review Rx History
Not every client will order each script that your practice creates for them. The Rx History tab provides an easy way to see which scripts have not been purchases by a client.
The status of Recommended means that you have created the script and are waiting for a client to order. By periodically reviewing which scripts have not been purchased, you are able to see which clients you might want to follow up with or even revoke the script if it is no longer medically advised.
