If a writeback record doesn’t appear as expected, you can check the status via the Prescription or Order Details.
You may see the following statuses:
| Sent | The writeback message has been sent via backend systems, but has not been processed and written into the PIMS record yet |
| Sent Success | The writeback message has successfully recorded into the patient record |
| Sent Failed | The writeback message failed to process and write into the PIMS record. Check that the provider and inventory item set up for Writeback has not been deactivated within your PIMS. |
| Patient Not Linked | Patient must be linked. Once linked, the writeback record will be sent. |
| Error | There was an issue with the message and it could not be sent. Please reach out to support to rectify. |
Accessing Writeback Status for Prescriptions
- From vRxPro®, navigate to Rx Details for a specific prescription via the Patient Profile or Rx History.
- The Writeback Status will appear at the top of the page under the Product Name.
- You can also view a historical log of sync statuses by selecting View Details. The most recent status will be at the top.
Accessing Writeback Status for Orders
Note: Writeback Status will not appear under Order Details until the order has been shipped. Only shipped orders writeback to software.
- From vRxPro, navigate to Order Details for a specific order via the Client Profile or Order History.
- The Writeback Status will appear at the top of the page under the Client Name.
- You can also view a historical log of sync statuses by selecting View Details. The most recent status will be at the top.
Additional troubleshooting
I authorized a Client Request, but it isn’t showing in the patient’s medical record.
Client requests will only show once the item has shipped, verify the order status and ensure that the patient is linked in vRxPro.
I created a ProScript and it is not showing in the patient’s medical record.
Ensure that the patient’s account is properly linked in vRxPro.
Linking Center is not showing any patients.
If the list is empty, there are no pending writebacks waiting for a patient to be linked. Use the filters and checkboxes to expand results.
I cannot locate the correct patient in the Linking slide out.
The client’s name or spelling may not match exactly. Try searching by the patient’s account ID (PIMS ID) from your Practice Management Software.
The information under Prescription Record on the Linking slide out is incorrect.
Edit the details in the client’s or patient’s profile in vRxPro.
The information under Practice Management Record on the Linking slide out is incorrect.
Edit the details in the client’s or patient’s account in your Practice Management Software.
